3. Personal information we may collect

  • Identity and contact information, such as your name, email address, telephone or WhatsApp number, country and city of residence, and preferred language.

  • Pathway and assessment information, such as your nationality or citizenship where relevant, age or date of birth, education, employment history, qualifications, language ability, destination interests, goals and readiness, and the CV you choose to upload.

  • Client and learner information, such as the services you enroll in, membership status, appointments, learning activity, document requests, support history and account login information.

  • Transaction information, such as the service purchased, payment status and invoices. Payments are handled by our payment providers. We never receive or store your payment card data.

  • Communications, including messages, call notes, emails, SMS or WhatsApp conversations, feedback and customer-service records. We only record a call or meeting if the invited participants agree to it first.

  • Technical and usage information, such as your IP address, device and browser information, pages viewed, the website that referred you, approximate location, cookie identifiers, and how you interact with our emails and website features.

  • Partner referral information received from, or shared with, an approved partner where permitted and relevant to the service you requested.

Sensitive documents: please do not upload passports, government identification, medical information, immigration records or other sensitive documents through a general website form. If IPW needs personal documents to deliver a service, we will ask you to send them by email. You may password-protect the files if you wish.

4. How we collect information

We collect personal information directly from you through website forms, assessments, appointment bookings, purchases, account activation, Members features, documents you provide, surveys and communications with us.

We also collect technical information automatically through cookies and similar technologies (see section 11). We may receive information from an approved partner or another person when there is appropriate authority, consent or a legal basis to do so.

5. Why we use personal information

  • To respond to your inquiry and assess which IPW pathway or next step may be relevant to you.

  • To create and manage client or learner accounts, deliver the services you purchase, schedule appointments, provide learning resources and support you throughout your journey.

  • To confirm that a pathway or opportunity is available in your country, and apply the appropriate controls to employment-linked opportunities.

  • To coordinate a referral to a specialized or regulated partner when you request or authorize it.

  • To process payments, keep business and accounting records, and manage service administration.

  • To send service messages and, with your permission, marketing messages that you can decline or unsubscribe from at any time.

  • To secure, operate, troubleshoot and improve our website, our customer management system and future IPW applications.

  • To measure website and campaign performance, where you have given the required cookie consent.

  • To meet our legal, regulatory, contractual, fraud-prevention and recordkeeping obligations.

Depending on the activity and the law that applies, we rely on your consent, steps you ask us to take before entering into a contract, the performance of a contract, compliance with the law, or our legitimate business interests where permitted.

6. Consent and your choices

Where consent is required, we explain the purpose and give you a real choice. You may withdraw your consent for future processing at any time, subject to legal or contractual restrictions and reasonable notice. Withdrawing consent may limit our ability to provide an optional feature or service. Service messages about your inquiry, account or services are separate from optional marketing messages.

7. When we share personal information

IPW does not sell personal information. We share it only as reasonably necessary, and under appropriate contracts, instructions and access controls, with:

  • Technology and hosting providers that run our website, customer management system, forms, calendars, automations, communications, file storage and Members area, including Wix and GoHighLevel (LeadConnector).

  • Payment, accounting and administrative service providers.

  • Analytics, security and advertising providers selected by IPW, such as Google, Meta, LinkedIn and TikTok, only in line with your cookie choices.

  • Approved partners in education, language training, immigration, recruitment, relocation, insurance or related services, when a referral is relevant to your request and you have authorized it. The partner then handles your information under its own privacy notice.

  • Professional advisers, such as lawyers and accountants, as well as insurers, auditors, regulators, courts or public authorities where reasonably necessary or required by law. We use secured email when sharing information with lawyers and accountants.

  • A successor organization in a proposed or completed merger, reorganization, financing or transfer of business, subject to lawful safeguards.

8. International processing and transfers

IPW operates in Canada and Mexico, and our service providers and partners may process information in other provinces, states or countries, where privacy laws may differ. We use the contractual, organizational and technical measures required for each transfer, including secured email transmission when sharing information with our professional advisers.

9. How long we keep information

We keep personal information only for as long as reasonably necessary for the purposes described in this Policy. Information from inquiries and assessments is kept for 12 months from your last contact with us, then deleted, anonymized or securely disposed of. If you become a client, we keep your service agreement and financial records for as long as tax and accounting laws require, then delete them. Information may remain in secure backups for a limited time before it is overwritten.

10. Security

IPW uses administrative, technical and physical safeguards suited to the sensitivity of the information, including access limited by role, authentication, staff controls, vendor management, backups and secure transmission where available. No internet or storage system is completely secure. Please protect your login details and tell us promptly if you suspect unauthorized activity on your account.

11. Cookies and similar technologies

We use necessary cookies to operate our website and, where permitted, preference, analytics and marketing technologies. Non-essential cookies stay switched off until you give the required consent. When you first visit, you can choose Accept All, Reject Non-Essential or Manage Preferences, and you can change your choice at any time through the Cookie Settings link at the bottom of every page.

12. Marketing communications

With your permission, IPW may send you news, educational content, event information or service offers by email, SMS, WhatsApp, telephone or other channels you select. You can unsubscribe at any time using the link in our emails, by replying STOP to an SMS or WhatsApp message, or by contacting us. Opting out of marketing does not stop essential messages about your inquiry, account, security or billing.

13. Automated processing

IPW uses rules and automation to route inquiries, assign tasks, send confirmations and identify the next administrative step. We do not make decisions that have legal or similarly significant effects on you solely by automated means without an appropriate legal basis and safeguards.

14. Your privacy rights

Depending on where you live and which law applies, you may have the right to:

  • access or correct your personal information;

  • withdraw your consent;

  • object to or restrict certain processing;

  • request deletion or a portable copy of your information;

  • receive information about how your information is disclosed or used in automated decisions; and

  • complain to IPW or a privacy regulator.

These rights are subject to legal exceptions. We may need to verify your identity before responding.

To make a privacy request, email info@interproworks.com. We will respond within the time required by the law that applies to you.

15. Children and minors

Our website and services are intended for people aged 18 and over. IPW does not knowingly collect personal information from anyone under 18 without the authority or consent required by law. If a parent or guardian believes a child has given us information, please contact our Privacy Officer.

16. Third-party websites and partner portals

Our website may link to independent partner portals, public resources and social media platforms. Their own privacy notices apply to how they handle your information. A link or referral does not make IPW responsible for an independent organization’s processing, although we will tell you who the responsible organization is when we refer you.

17. Changes to this Policy

We may update this Policy when our services, providers or legal requirements change. We will post the updated version with a new effective date and give additional notice where required.

18. Contact and complaints
